The Finance Manager will be responsible for the full-cycle financial operations, including general accounting, accounts receivable and payable, payroll administration, financial reporting, regulatory compliance, and support for budgeting and strategic financial planning.
About the Role:
- Whistler, BC.
- Full-time, year round.
- Schedule Monday – Friday 8:00 / 8:30a – 4:00 / 4:30p
- (schedule will follow school calendar with breaks during holidays)
- Maternity Leave Contract: August 24th 2026 to July 1st, 2027
- Training provided in June 2026
- Wage range $30 – $33 per hour plus 4.5% vacation pay

The Perfect Candidate:
- Bachelor’s degree in accounting, Finance, Business Administration, or a related field an asset.
- Minimum 3+ years experience in a bookkeeping role required; non-profit or school experience is an asset.
- Strong knowledge of accounting principles and payroll practices; bookkeeping certification is required.
- High level of integrity and discretion when handling confidential financial and personnel information.
- Proficiency in Microsoft Office (particularly Excel) and accounting (QuickBooks) and payroll software.
- Strong organizational skills with the ability to prioritize workload and meet deadlines.
- Sound judgment, problem-solving ability, and a calm, professional demeanor.
- Excellent communication and interpersonal skills, with the ability to build collaborative working relationships.
Responsibilities Include:
General Accounting
- Oversee all aspects of general accounting, including accounts payable, accounts receivable, and month-end journal entries.
- Maintain accurate and timely financial records in accordance with best practices and regulatory requirements.
Accounts Receivable
- Manage annual tuition invoicing for preschool programs and Grades K–12.
- Manage monthly preschool programs invoices.
- Administer student support invoices and payments per term.
- Manage and account for annual giving, fundraising and gala donations.
- Manage and account for graduation trip fundraising activities.
- Manage and account for after-school activities and programs.
- Administer the tuition adjustment program in coordination with Apple Financial.
- Process and post tuition payments (monthly pre-authorized ACH, cheques, credit cards, and e-transfers).
- Prepare monthly outstanding accounts reports and identify families with balances in arrears to the Director of Administration; follow the school’s accounts in arrears policy.
- Manage any school supplies invoices on behalf of the Parent Association Committee.
Accounts Payable
- Manage full-cycle accounts payable, including posting and payment of vendor invoices and staff expense reimbursements.
- Oversee all online banking transactions.
- Perform monthly reconciliations of bank accounts, credit cards, and general ledger accounts; investigate and resolve variances.
- Manage school credit card usage, ensuring instant submission of supporting invoices.
- Maintain a highly organized digital filing system for invoices, payroll records, reimbursements, and financial documentation.
- Monitor purchasing and spending to ensure adherence to sound internal control procedures; notify the Director of Administration of budget overages or non-compliance.
Payroll & Benefits Administration
- Process semi-monthly payroll through the school’s payroll provider.
- Input and verify semi-monthly timesheets.
- Administer new hires, payroll changes, terminations, and issue Records of Employment (ROEs).
- Verify earnings, taxable benefits, health benefits, and tax remittances; respond to payroll inquiries.
- Manage payroll self-service system and support staff login inquiries.
- Post payroll and benefits journal entries to the general ledger and reconcile benefit premium statements.
- Administer staff benefits through the benefits provider.
Regulatory & Financial Reporting
- File monthly MCF Child Care Operating Grants, Child Care Fee Reductions, Affordable Childcare subsidies, and Early Years Wage Enhancements.
- Prepare quarterly reports for WorkSafeBC.
- Collaborate with the Director of Administration to develop the annual operating budget; present to the Operational Management Team, Board Finance Committee, and Board of Trustees.
- Produce monthly financial statements, including variance analysis, budget-to-actual commentary, and forecast updates for the School Board.
- Support the development and maintenance of best-practice financial policies.
- Prepares comprehensive ES audit file for the ministry.
Human Resources Support
- Support HR record-keeping and maintain organized employee files, including onboarding documentation.
- In coordination with the Director of Administration, assist with payroll and benefits administration and contractor management.
- Provide recommendations regarding benefits providers and related services when appropriate.
