One of Whistler’s most exciting, world-class events as an opening for a Marketing and Development Coordinator. Responsible for overseeing the marketing of this event around the world as well as supporting sales and business development efforts, this leadership role is ideally suited for a creative digital marketing professional who understands how to leverage PR, attract sponsorship and build world-class brands.

About the Role:

  • Full-time contract position until Dec then part-time for the rest of the winter.

Duties / Responsibilities:

  • Marketing: Create and maintain marketing communications campaign including strategy, plan, budget, materials and programs (including creative briefs, e-newsletters, press communications, collateral, advertising etc.)
    • Coordinate content (videos, photos and stories) for internal and external marketing channels and publicity.
    • Work with production designer/agency to ensure all advertising and collateral is consistent with brand and campaign creative standards
    • Coordinate media buys as required
    • Production coordination of collateral including programs, schedules, content collection, copy writing, editing, proofing and working the designer and team
    • Maintain and update website content including content, layout and technical requirements
    • Support google ad words, PPC and SEO campaigns
    • Coordinate production and distribution of all print materials
    • Manage photographers and event crew during the event including shot list
    • Track & archive hard copies of original advertising and collateral pieces for reports
    • Organize and maintain databases
    • Complete marketing report and statistics
  • Outreach and Publicity: Create and maintain Social Media strategy and campaigns through dedicated channels (Facebook, Twitter, YouTube, Instagram etc) and Google Ad Words
    • Update program and event listings on dedicated websites and publications
    • Coordinate campaigns with community/industry groups to promote programs and build capacity
    • Disseminate program information to members, arts community, and public as required
    • Promote Alumni activities through channels
    • Support Publicity team as required
    • Coordinate, write and distribute media releases and PSAs on schedule
    • Develop relationships with local, regional, national and industry media
    • Coordinate media coverage/clippings a regular basis
  • Sponsorship & Advertising Support: Support sponsorship and grant fulfillments and communication as required
    • Coordinate sponsor and advertising artwork collection for program guides with the Sponsorship & Development Manager
    • Assist with sponsor administration, communication, activation and other projects as required including client communication, benefits fulfillment and filing/archiving
    • Assist with media and sponsor activation deliverables
    • Oversee all promotions to fulfill sponsor promotions/contests, sending prizing confirmations, coordinating prizing delivery/pickup prior to and during Festival and or events, and meeting winners as required
    • Maintain updated and manage database as required
    • Support fundraising events as required
  • Donations/Fundraising: Support grant and fundraising process.
  • Process and track online giving (PayPal, auto withdrawals, campaigns)
    • Maintain database for individual patrons and donors and in-kind donations for programs and events
    • Manage all aspects of Patrons Circle program, including set up and track donors, grants and donations, thank you letters, reports and other tracking tools such as grant analysis worksheet
    • Assist with invitations, registrations, and RSVPs for annual Fundraisers, and maintain attendee lists
    • Assist in soliciting and coordinating auction items
    • Support grant and fundraising process including
    • Compile and maintain all pertinent grant information, data, details, and back-up, including community partners and their roles, receipts, budgets, reporting requirements/documents, and proof of fulfillment
  • Event Planning & Coordination and General Administration Duties:
    • Assist with communication with outside vendors, including caterers, designers, printers, photographers, media, and venue managers
    • Keep accurate and easily accessible records of all work to ensure organizational continuity
    • Perform administrative duties and research as required
    • Attend and provide updates at weekly staff meetings
    • Submit a weekly status report detailing activities and timesheet.
    • Submit weekly status reports and timesheets
    • Attend a Festival post mortem meeting by December 16, 2016 or as determined
    • Provide detailed position report by December 23, 2016
    • Assist with programming report for Final Festival Report
    • Other duties as required

The Perfect Candidate:

  • University or College Degree/Diploma in Marketing, Communications or similar
  • Minimum 3 years Marketing/Communications experience an asset
  • Competent in WordPress, Google Adwords and social media advertising platforms
  • Computer literacy and database management experience essential (Internet research skills, Microsoft Office, database applications, social media platforms, Adobe Photoshop an asset)
  • Excellent project management skills
  • Proven ability to meet deadlines and react quickly to change in a fast paced environment
  • Ability to work well individually, and part of a team
  • Strategic thinker and excellent attention to detail
  • Excellent administrative and organizational skills, with a keen eye for detail
